Volunteer Supervisor
Starting salary- $36,000/annually
Reports to the Director of Advocacy
FLSA Status: Non-exempt
JOB DESCRIPTION:
The Volunteer Supervisor is responsible for the support, supervision, ongoing training and development of volunteer advocates who represent the best interests of children involved in the child welfare system. This position oversees a caseload of volunteers and assigned cases, ensuring that volunteer advocates are properly prepared, supported, and compliant with program policies, court requirements, and state and national CASA standards.
The Volunteer Supervisor provides coaching, case consultation, and quality oversight to volunteer advocates from case assignment through case closure. The position works closely with the courts, Child Protective Services, SSCC, attorneys, and other professionals to ensure effective advocacy for children who have experienced abuse or neglect.
This position plays a critical role in maintaining high-quality advocacy services through effective volunteer management, case monitoring, and adherence to program, grant, and CASA standards.
QUALIFICATIONS:
Experience in volunteer management, supervision, training, or program coordination preferred
Experience in child welfare, social services, education, counseling, or related field preferred
Knowledge of the civil court system and child abuse and neglect issues preferred
Strong organizational, oral, and written communication skills
Ability to manage multiple cases and priorities simultaneously
Effective time management and problem-solving skills
Ability to provide coaching, guidance, and constructive feedback to volunteers
Ability to work collaboratively with professionals from multiple agencies
Knowledge of children’s services and community resources preferred
Ability to plan, organize, and lead in a strategic and professional manner
Proficiency in computer applications and case management databases
Ability to maintain confidentiality and professional boundaries
Ability to use trauma-informed and culturally responsive practices when working with children, families, and volunteers
1. Volunteer Supervision & Support
- Supervise volunteer advocates assigned to a caseload following successful completion of training, courtroom observation, and swearing-in.
- Provide ongoing coaching, consultation, and guidance to volunteer advocates regarding case activity, documentation, court preparation, and professional conduct.
- Monitor volunteer performance to ensure compliance with program policies, CASA standards, and court requirements.
- Maintain regular contact with volunteers to review case progress and provide support.
- Evaluate volunteer advocates on a regular basis and at case closure.
- Address volunteer concerns and report performance issues to the Director of Advocacy.
- Support volunteer retention through encouragement, recognition, and professional development opportunities.
- Participate in volunteer training and assist with coordination of volunteer recognition activities.
2. Caseload & Case Management
- Manage an assigned caseload of volunteers and cases as determined by program guidelines.
- Full-time Volunteer Supervisors may supervise up to 30 volunteers and up to 45 cases, unless assigned additional duties.
- Review case activity monthly to ensure required contacts, documentation, and advocacy tasks are completed.
- Ensure all case files are maintained according to program policies and compliance requirements.
- Ensure proper procedures are followed for case assignment and case closure.
- Provide volunteers with case information and updates in a timely manner.
3. Court & Advocacy Coordination
- Review, edit, and approve court reports prepared by volunteer advocates.
- Ensure court reports are submitted for final approval and distributed to all parties at least 10 days prior to hearings.
- Assist volunteers in developing recommendations that reflect the best interests of the child.
- Facilitate communication between volunteers and Child Protective Services, SSCC, attorneys, courts, foster parents, therapists, schools, and other professionals.
- Represent the program in a professional and positive manner when working with community partners and court personnel.
- Communicate case status and concerns to the Director of Advocacy on a regular basis.
4. Training & Program Development
- Complete required pre-service training upon hire.
- Complete a minimum of 12 hours of continuing education per year, including conferences, workshops, CASA College, Café CASA, or other approved training.
- Assist with volunteer pre-service training as assigned.
- Assist in developing and implementing program goals and advocacy initiatives.
- Support volunteer recruitment efforts as needed.
5. Data, Compliance & Reporting
- Enter and maintain accurate case documentation in Optima or other case management system.
- Ensure data is current, complete, and reviewed regularly.
- Understand and comply with grant requirements.
- Follow Texas CASA and National CASA standards, policies, and mission.
- Maintain confidentiality of all client and volunteer information.
6. Organizational Participation
- Participate in program events, meetings, and special projects as required.
- Work occasional evenings and weekends as needed.
- Travel as required for court, meetings, or training.
- Perform other duties as assigned.
Education: Coursework in Psychology, Social work or a related field. B.S. or B.A. in social services field preferred.
